Zayo is seeking a Workplace Operations Analyst to support workplace operations across multiple locations by coordinating facilities services, vendor partnerships, workplace projects, and site integrations to deliver a safe, efficient, and consistent employee experience.

Key Responsibilities

  • Support workplace operations and facilities coordination for assigned company and acquired locations, serving as a primary contact for employees, onsite representatives, property management, vendors, and service providers.
  • Coordinate resolution of facilities, maintenance, cleaning, security, access, life safety, food and beverage, office service, and workplace-related issues through appropriate internal and external partners.
  • Track, assign, follow up on, and document facilities work orders, vendor requests, service issues, site needs, and operational action plans through completion.
  • Support acquired-site integration activities by assessing current workplace practices, documenting site conditions, identifying operational gaps, and coordinating transition activities into standard workplace processes.
  • Coordinate defined vendor realignment and service consolidation initiatives, including collecting site information, comparing current practices, supporting implementation plans, tracking milestones, and escalating risks or decisions.
  • Assist with facilities-related project work such as site rebranding, service transitions, safety program coordination, vendor onboarding, and workplace process changes across multiple locations.
  • Review vendor relationships, service practices, work-order processes, invoicing procedures, and site records to identify inconsistencies and recommend practical improvements for service quality, cost efficiency, and operational consistency.
  • Maintain accurate records related to vendors, service schedules, work orders, site profiles, invoices, expenses, project status, integration progress, risks, dependencies, decisions, and completion dates.
  • Communicate workplace operations updates to employees, onsite contacts, vendors, property managers, internal partners, and Workplace Operations leadership regarding repairs, service changes, project activity, interruptions, and operational issues.
  • Apply established Real Estate and Workplace Operations standards to support consistent site operations, while identifying issues that require leadership review, stakeholder alignment, or escalation.

Qualifications

  • Bachelor’s degree in business administration, facilities management, real estate, hospitality, property management, or a related field; equivalent related work experience may be substituted for the degree requirement.
  • Minimum of three (3) years of experience in workplace operations, facilities coordination, property management, office operations, vendor coordination, project coordination, or a related operational support function.
  • Experience coordinating facilities services, workplace requests, vendor activities, maintenance, inspections, repairs, office moves, site records, or workplace improvement activities.
  • Experience supporting projects, process changes, vendor transitions, service implementations, or multi-site operational coordination.
  • Ability to collect and organize site information, identify operational gaps, analyze process or service inconsistencies, recommend practical solutions, and follow through on assigned action plans.
  • Strong organizational skills with the ability to manage multiple locations, vendors, requests, records, deadlines, milestones, and priorities simultaneously.
  • Effective written and verbal communication skills, with the ability to exchange information clearly with employees, onsite contacts, vendors, property managers, internal teams, and leadership.
  • Familiarity with facilities work-order systems, vendor-management processes, invoice coordination, workplace safety practices, emergency-preparedness activities, access procedures, or site operating standards preferred.
